This policy applies to all bookings made on or after 23 September 2025.

Tour Payment Due Date:

All Tour payments are due 90 days before your tour starts.

Payment Types:

You can pay for your booking via Full Payment which attracts no fees or via an automatic Monthly Payment Plan. 

Monthly Payment Plan Explained:

Monthly Payment plans will be charged on the same day of each calendar month. Your 1st installment will start 4 weeks after your deposit has been placed.

Each installment includes a $10 merchant processing charge to cover card/payment processing costs (disclosed at checkout)

Example of Monthly Payment Plan:

a) Tour Purchase Price = $3,479.50 (includes $29.50 Booking Fee)

b) Deposit has been Paid = $579.50

c) Balance Remaining = $2,900

d) Plus 11 x $10 Monthly Payment Plan Merchant Processing Charges

e) = You will pay $273.60 aud every month for 11 months.

Upon purchasing a tour you will receive another email to set up your monthly payment plan. This must be completed within 48 hours.

Name Changes:

If you can no longer make your tour, you can do a Name Change for that tour.

Name Changes are $89.00 aud & must be submitted only via our Official Name Change Form – HERE.

The new traveller will take over your payment plan. They must set up their payment account within 48 hours and continue the scheduled payments, if they do not – the booking will be moved to a cancellation.

Once the Name Change has been confirmed and the new payment plan set up, any transfer of funds between the original and new traveller is a private arrangement between those parties and does not involve Awake Tours.

If you do a name change, that new person can not do a tour transfer to a new tour. They can only do another name transfer for that tour & it will need to go through the process again.

Name changes are only for the same tour you purchased, for the date & year you purchased.

Insurance: 

You are responsible for making sure your travel insurance provides full protection. This should include, but is not limited to: cover for trip cancellations, whether initiated by the company or by you. Pre-existing medical conditions, loss of luggage or personal belongings, illness or death of a close relative, visa complications, injuries, pregnancy and any other unexpected circumstances.

Awake Tours may request a copy of your insurance policy at any time after you have made your booking. If you decide to travel without adequate insurance, you do so at your own risk, and Awake Tours cannot accept responsibility for any losses that result from not holding comprehensive cover.

Failure to obtain adequate insurance may result in you being unable to recover your costs in the event of cancellation, illness, or other unforeseen circumstances.

Free Cancellation

Free cancellation & change of mind is only available within 48 hours of your booking being confirmed, provided that your trip departure date is at least 45 days away.

Cancellations:

If you amend your booking, the cancellation terms are calculated from the date of your original booking.

Please note that once you commit to an Awake Tour, we immediately lock in non-refundable accommodations, event tickets in your name, suppliers and your reserved space. These costs are committed on your behalf and cannot be recovered.

If You Are On a Payment Plan

If you need to cancel while on a payment plan, a cancellation fee will apply. This fee is equal to the total installments due up to the date of your cancellation, as these payments cover the commitments we’ve already made on your behalf. 

We strongly recommend travel insurance that includes cancellation cover, as this may allow you to recover these costs.

If You Paid in Full at the Time of Booking

If you paid the full balance upfront, the cancellation fee is calculated in the same way as if you had chosen to pay in installments.

TRANSFER OF FUNDS TO ANOTHER AWAKE TOUR

You may use paid funds for another Awake Tour within the same calendar year (i.e January to December only )

Except for the following excluded tours: Croatia, TML and Coachella. Bookings for these three tours are non-transferable and excluded from fund transfers. If a cancellation occurs for each of these 3 you will forfeit all payments made and/or only be able to make a name change.

– If transferring, the new tour must be booked and confirmed within the same calendar year.

-Any price difference or extra costs are payable by the booker. Your paid funds will transfer over to this tour. Any extra funds will remain as a credit in our system under your name for that same calendar year – minus processing & admin fees.

-Each booking may be transferred on one (1) occasion only and you cannot then transfer that second booked tour again.

-This transfer will only start when a new tour has been chosen & payment plan swapped over.

– All transfers are subject to availability and any supplier non-refundable costs.

-The cut off for a tour transfer is 90 days before that tour starts. Any requested transfers after 90 days before the original tours starting date will result in a cancellation.

How to Cancel

Cancellations must be made in writing to Accounts@awaketours.com. After we receive your cancellation request, we will issue a Letter of Cancellation, which you can use to make a claim with your travel insurance provider. Cancellations take 72 hours to process.

Postponements or Swapping Trips

Your trip cannot be postponed, credited, credit held, or rolled over to future years. The only options available are:

–A name change for the exact tour you purchased for the date & year you purchased.

OR

–A transfer of yourself to another tour in the same calendar year, *selected tours only.

OR

–A cancellation.
